In this section of your account you can find information about:

Transactions

Transactions



This section contains a list of all your Transactions. You may find the following default columns there:



Action - this refers to a specific action taken:

Payment - a payment made
Refund - a refund from payment
Payout - an amount paid out to a reseller through an invoice
Dispute - an amount disputed via a chargeback (banks give you a certain amount of time to react to a customer)
Bill - an invoice of money owed by a reseller
Adjustment - a fee that a PSP has taken (only for CC transactions)

Reference - this identifies a particular order
Channel - of the sale
Amount - this states the exact financial amount of a particular action
Order - order number
Method - this refers to a used payment method of a particular action:

Credit / Debit Card
Cash
Reseller Voucher
Other - a payment method not included in those above. Usually this is an external PDQ (CC machine that isn’t tied to Ventrata), or a bank transfer (also not tied to Ventrata)

Transaction Date - showing the date of a transaction
Transaction Time - showing the time of a transaction



You may add new columns to a search, or remove current ones by using the Show Columns button. If you want to return to the default settings, click the Reset All Filters button located in the right top corner of the screen. If you want to keep the displayed search for later, you may use the Saved Searches button, which allows you to save the search, or the Export button to download it.

To generate and manage new or already existing reports, hit the Generate Report button.

Particular Transaction



If you choose particular transaction from a list, a new window like below will appear:



In the top right, you have the option to edit customer information by clicking the Update button next to a customer name (in the example the customer is anonymous).

You can edit:

Customer First name
Customer Last name
Customer Company
Customer Email
Customer Mobile
Customer Age
Customer Language
Customer Country
Customer Address
Customer Notes



You may also select if you want to Email Receipts and Tickets to customers, send SMS Receipts and Tickets to customer, or both by checking / unchecking the checkboxes.

After filling in the information, the customer is updated.




You can see following information:

Name of customer
Address
Notes
Phone number
Email
EDIT ORDER button
Source and the time of order creation
Order #number
Product and its status
Travel Date
Number and type of Tickets
Booking Reference number
Booking total

You may also + ADD NEW BOOKING, + ADD NEW PURCHASE as well as + ADD NEW GIFT CERTIFICATE.



Under these options you will find more information:

Order Total
Total Paid
Total Refunded
Balance Due

You may also perform the following actions:

ADD PAYMENT
PERFORM REFUND
PRINT RECEIPT
EMAIL RECEIPT
PRINT ORDER
ADD COMMENT (+ ATTACHMENT)

And at the bottom you can also see the whole history of the booking.



Another option in this Transaction tab is to click on a particular product, which brings up even more product information such as:

Item
Quantity
Amount
Tax
Total
Net Tax
Margin



And again, you are given an option to perform the following actions

Redeem Booking
Print Voucher
Email Voucher
Make Changes
Cancel Booking
SMS Voucher
No-show - this will release those seats. If a tour is sold out but you mark a booking of two adults as a no-show then that tour now has two seats available again

You may also View Shift and Debug Rates below, see the Ticket Reference, Status, Type, Seat or Extras.

A similar tab could be brought up by clicking on the Payment information, which contains:

Amount with method of payment
Action with source of payment
Date and time - when the payment was made
Sold by
Notes with card ending

You can also void or edit the transaction by pressing the associated buttons.



Transfers



Transactions are the actions, and transfers are the money deposited into your account with each transaction so you can reconcile.

This section contains a list of all your transfers. You will find the following default columns there with all the information regarding a particular transfer:

Reference - of the transaction
Gateway
Status - shows the status of a transfer, such as Paid, In Transit, etc
Date - shows the exact date of a transfer
Payments - shows the total amount of a transfer without any deductions
Refunds
Disputes
Bills
Fees
Total- shows the final amount of a transfer after all deductions
Diff - shows the balance due



Note, that you may also see/ download information about particular transaction, or reconcile. Note, that you may also download information about particular transaction, or reconcile.



Reconcile is about getting all the line items in a download into the transfer page so that you could run a report in Ventrata or see which order it was associated to.

You may add new columns to a search, or remove current ones by using the Show Columns button.

If you want to keep the displayed search for later, you may use the Saved Searches button, which allows you to save the search, or the Export button to download it. Note also an option to Reconcile Stripe Tranfers.

This section contains a list of all your disputes. A credit card dispute is a chargeback - someone has told their bank that they didn’t pay for it or that the service wasn’t complete.

You may find the following default columns here:

Amount - shows the total financial amount of a dispute
Status - shows the actual status of a dispute:

Warning Closed
Needs Response
Under Review
Charge Refunded
Won
Lost

Think about that order and check if you were the victim of an unfair chargeback and what the appeals process is.

Transaction - links a dispute to a specific order
Reason - delivered through a bank for the dispute:

Credit Not Processed
Duplicate
Fraudulent
General
Product not received

Customer
Dispute Day - the day when dispute was created



When you click on a particular row in a list, the following tab with a particular dispute will pop up.

Particular Dispute



Product description - a description of a product or service and any relevant details on how this was presented to a customer at the time of purchase
Customer name
Customer email address
Customer signature - possible to choose as a file
Billing address
Service date - the date on which a customer visited
Customer purchase IP - the IP address of a customer
Receipt - any receipt or message sent to a customer notifying them of the charge
Customer communication - any communication with a customer that you feel is relevant to your case. Examples include emails proving that a customer received a product or service, or demonstrating their use of or satisfaction with a product or service
Service documentation - documentation showing proof that a service was provided to a customer. This could include a copy of a signed contract, work order, or other form of written agreement



Note, that you may also Submit Evidence, Save for Later or Add Comment below the tab.



These may include an email or a printed ticket they bought. There is something called friendly fraud, which has nothing friendly about it, where a client uses a service, isn’t too happy (maybe because the bus was late), and instead of complaining, they demand a chargeback through their bank.

Note that all columns can easily be filtered by clicking on them. You may also add new columns to a search, or remove current ones by using the Show Columns button.

Ledgers



Ledgers is a append-only list of financial changes that happen against bookings. For example when a booking is made, updated, cancelled or a new payment is posted. Each event will create a new ledger item with the difference in value from before. It's designed to be data used to import into your accounting system

The default columns here are:

You may add new columns to a search, or remove current ones by using the Show Columns button.
