Connection Capabilities



🔌 Real-Time Mapping


You will be able to view which of your GetYourGuide products are mapped to which Ventrata products, as well as update this right from Ventrata without needing to login to your GetYourGuide account. This works as follows:
Get Mappings. Using the user account you create when setting up the connection. Ventrata will be able to pull the list of products in your GetYourGuide account, including their status, which Ventrata products they are currently mapped to, etc., and display this information in Ventrata.
Update Mapping. You will be able to update mappings right from Ventrata. When you update mappings in Ventrata, they will be updated in your GetYourGuide account in real-time.

📅 Live Availability


GetYourGuide will sync the availability of your mapped products/options for the next 365 days based on data from Ventrata. This works as follows:
Availability Query. When mapping a product, GetYourGuide will sync entire next 365 days of availability (number of vacancies remaining as well as booking cut-offs) from Ventrata. They usually achieve this though multiple requests to Ventrata, each for ~10 days of availability. After that, GetYourGuide will be regularly syncing your availability with the closer dates being synched more often than dates further out into the future. While the exact sync schedule logic varies per product, usually GetYourGuide will sync next 7 days of availability every 4 hours, next 30 days - every 1 day, next 90 days - every 4 days, next 365 days - every week. High-demand product with limited availability are often synced more often than others.
Notify Availability Update. As availability changes, Ventrata will additionally proactively notify the GetYourGuide system of number of vacancies remaining.
Reservation. When a customer selects date, time and number of travellers and adds your product to their shopping cart, GetYourGuide will make a request to Ventrata to verify if there is still sufficient availability to accomodate the group. If there is, a Pending Booking will be created in Ventrata to hold availability as customer completes their checkout. If there isn't sufficient availability, customer will be advised to select another date/time or product, while GetYourGuide will perform an additional Availability Query to re-sync your availability for this date in order to display more a up-to-date information for next customer booking for this date.

🏷️ Live Pricing


Along wth availability, GetYourGuide will also sync the retail pricing of your mapped products/options for the next 365 days based on data from Ventrata. This works as follows:
Update Mapping. When mapping a GetYourGuide product, Ventrata will automatically update your GetYourGuide ticket categories to match those in your Ventrata system (if supported by GetYourGuide), including their age ranges and min/max restrictions.
Pricing Categories. GetYourGuide may also additionally proactively sync ticket categories from Ventrata in some scenarios.
Availability Query. When mapping a product, GetYourGuide will sync entire next 365 days of pricing (currency and retail prices) from Ventrata. They usually achieve this though multiple requests to Ventrata, each for ~10 days of availability. After that, GetYourGuide will be regularly syncing your availability with the closer dates being synched more often than dates further out into the future. While the exact sync schedule logic varies per product, usually GetYourGuide will sync next 7 days of availability every 4 hours, next 30 days - every 1 day, next 90 days - every 4 days, next 365 days - every week. High-demand product with limited availability are often synced more often than others.

Reservation. When a customer selects date, time and number of travellers and adds your product to their shopping cart, GetYourGuide will verify most up-to-date pricing with Ventrata. If the price has changed, it will be updated for GetYourGuide customer accordingly.

🎟️ Booking


Bookings created, amended, or canceled on GetYourGuide will be automatically created, amended, or cancelled in Ventrata. This works as follows:
Reservation When a customer selects date, time and number of travellers and adds your product to their shopping cart, GetYourGuide will create a Pending Booking in Ventrata to hold availability while customer completes the checkout. The cart hold duration will be set according to your Ventrata supplier settings.
Reservation Cancellation If customer removes your product from their cart, GetYourGuide will cancel the Pending Booking in Ventrata, releasing availability hold. The availability will also be released one cart hold duration expires.
Booking. Once a customer completes a booking, GetYourGuide will confirm previously pending booking in Ventrata and issue the customer a scan-ready voucher. By default, this will be GetYourGuide's voucher with a per-booking QR-code, booking reference - unless otherwise configured (e.g. per-ticket QR-code or Ventrata-generated PDF voucher are possible). Contact information GetYourGuide collects from customers is defined in their Supplier Portal and will not be subject to the required fields you have set up for Direct API source in Ventrata.
Booking Cancellation. If a customer cancels a booking on GetYourGuide, GetYourGuide will cancel this booking in Ventrata. Note that GetYourGuide does not sync the cancellation cut-off from Ventrata. Cancellations will follow the cancellation cut-off defined in your GetYourGuide account and will bypass any Direct API cancellation cut-off defined in your Ventrata system.
Booking Change. If a customer changes their booking on GetYourGuide, GetYourGuide will create a new booking with the same reseller reference and then cancel previous booking.


Becoming GetYourGuide Supplier



If you are not yet working with GetYourGuide, you can sign up for a supplier account with them at https://supplier.getyourguide.com/. Your commercial terms (e.g. % commission) will be determined/negotiated when you sign up. Once you have a GetYourGuide Supplier account with your products created in it, you can proceed to setting up the connection.


Setting up the Connection



Create GetYourGuide as a Reseller in Ventrata. If you haven't yet, create GetYourGuide as a Reseller and configure it's settings (band, commission, products, etc.).

Add Ventrata as an Operations User to your GetYourGuide account. Login to GetYourGuide's Supplier Administration. Go to Your Name > Company Profile and make note of your Supplier partner ID. Then, head to Your Name > Account Settings and click + Add a new account profile. In the Email field enter connectivity+gygXXX@ventrata.com replacing XXX with your Supplier partner ID you noted before (e.g. if your Supplier partner ID is 12345 use connectivity+gyg12345@ventrata.com). Enable Allow Login, select Operations permissions and click Add a new account profile.

Create a Connection in Ventrata. In your Ventrata Dashboard, go to Connections > Connections, then click + New Connection and select GetYourGuide from the list of available options. Set the connection Name, link the Reseller created in Step 1, enter your own Username and Password for your GetYourGuide's Supplier Administration account (these details will later be updated to Ventrata user account by Ventrata team), and click Create Connection. If necessary, you may also whitelist/blacklist destinations or products you wish this connection to have access to. Proceed to product mapping as described in the section below.

Mapping Products



Map products in Ventrata Connection. In your Ventrata Dashboard, go to Connections > Connections, then select your GetYourGuide connection from the list of created connections (see section above). The connection page will load the list of products & options pulled from your account. Rows highlighted in red indicate the options that need to be mapped to a product in Ventrata. To map, click on the row, then select Ventrata Product (and, if applicable, Option) you wish this GetYourGuide listing to be connected to, and click Update Mapping. If mapping was updated successfully, the row will no longer be highlighted in red. Product mapping will be automatically applied in your GetYourGuide account. You do not need to take any further steps in GetYourGuide's Supplier Administration.

Frequently Asked Questions



Why can I not find the product on the dropdown when mapping?

Make sure the product is whitelisted for the Connection, Reseller and/or Reseller Band linked to it, and check if the Product is made available to Direct API channel.

How do I change commission % / Net prices with GetYourGuide?

Contact your GetYourGuide account manager or GetYourGuide Supplier Support.

Does dynamic pricing (Fares) work with GetYourGuide connection?

All Fares except for Booking Size fares (Tiered Pricing) are currently supported.

Can I connect GetYourGuide products with per group pricing?

Yes. When mapping, select the Unit which should be booked as a group.
